Monthly salary range: $4,821 to $6,452

The Department of Corrections is seeking a motivated individual to fill the Non-Perm Administrative Assistant 3 position.

This position supports the Gender Affirming Care Unit within the Behavioral Health subdivision in Health Services. By ensuring that DOC is meeting the comprehensive health care needs of the transgender population, which is critical to their success in transitioning to the community, the Mission of DOC is supported. Through the support of this Unit's efforts to track and meet those healthcare needs, this AA3 position is critical to the effectiveness of the Gender Affirming Care Unit.

Duties

Administrative support the Gender Affirming Care Program Administrator (GAC-PA)

  • Provide administrative support to the GAC-PA to include:
  • Scheduling meetings
  • Taking minutes as needed
  • Arranging travel and completing the processing of travel.
  • Exercise independent judgment to accomplish assignments and solve problems.
  • Compose or process written correspondence for the GAC-PA.
  • Proofread materials, making corrections for sentence structure, spelling, grammar, and punctuation.
  • Perform work processing tasks, such as merging and sorting, integrating text with graphics, spreadsheets, and date-based files, and importing/exporting.
  • Open and distribute mail.
  • Track assignments for the GAC-PA from the DOC Correspondence Unit, Resolution Program, OCO and others.

Creates and manages a tracking system to ensure timely delivery of quality gender affirming health care services to the transgender incarcerated population.

  • Create a means to track the service provision to include patient Care navigation and medical care for all individuals identifying as transgender.
  • Work collaboratively with other disciplines to gather the necessary information from all prison sites.
  • Be alert to time frames for accessing services and working with the GAC-PA when there are any indications of delayed care.
  • Provide reports on aggregate data regarding the deliver of Gender Affirming medical care services.

Administrative Support for Health Services

  • Provide back-up administrative support services for the Health Services Unit, including answering the Health Services telephone.

Miscellaneous duties as assigned

  • Administrative support tasks as needed.

Qualifications

Required Qualifications:

  • Highschool graduation or equivalent.
  • Two (2) year’s experience working as an administrative assistant.
  • Proficiency with computers including Microsoft Office Suite.
  • Strong organizational and people skills.
  • Ability to type at least 45 APM.
  • Familiarity with the internet and email programs.
  • Knowledge of medical/psychological terminology.
  • Excellent writing and verbal communication skills
  • Ability to work independently and multi-task, and strong ability to work under pressure.
  • Good problem-solving skills

Preferred/Desired Qualifications

  • Familiarity with the needs of transgender individuals.
  • Is proactive in anticipating the needs of the Gender Affirming Program Administrator.
  • Use diplomacy when dealing with desperate and difficult personalities.
  • Strong conflict resolution skills.
  • Can be relied upon to achieve excellent results with little need for oversight or supervision.

  • This position may be represented by a bargaining unit.

  • Must be able to work in spaces, climb stairs, walk long distances, and frequently lift up to 30 pounds. Under rare circumstances this position may be required to lift or carry up to 50 pounds and push up to 100 pounds.
