Description

UM Housing invites applications for a Operations and Seasonal Housing Specialist to be responsible for the planning, coordination, and execution of summer and academic break housing programs, supporting conference housing operations, and contributing to general departmental logistics.

This position serves as the second-in-command for summer group and conference housing, leads student assignment processes for seasonal housing, supports occupancy and operational processes across all residential communities, and serves as a resource for assignment systems and housing logistics.

Examples of Duties and Responsibilities

  • Manage student assignments for summer and break housing using StarRez
  • Coordinate resident and summer group arrival and departure logistics, including check-ins, key distribution, and readiness tracking
  • Collaborate with Facilities and Residential Education to ensure unit readiness and service continuity
  • Communicate proactively with residents regarding housing timelines, expectations, and policies
  • Assist with summer group communications, quotes, billing, invoicing, and payment reconciliation
  • Research and recommend conference housing rates in collaboration with the Conference Housing Program Manager
  • Manage or collaborate to implement user access, security, and system updates within StarRez; build and manage processes and workflows, coordinate inspection runs, reporting dashboards, and data tracking
  • Act as a departmental lead for Microsoft SharePoint, Forms, and Power Automate processes to improve workflows and efficiency
  • Provide direct or indirect supervision of Residential Operations Coordinators, student staff, or other assigned staff, depending on departmental needs

Minimum Qualifications

  • Bachelor's degree and two (2) years of related experience, or an equivalent combination of education and experience
  • Availability and willingness to work evening and/or weekend hours during peak business periods
  • Strong organizational, analytical, and customer service skills
  • Experience managing operational systems and coordinating logistics
  • Excellent written and verbal communication skills
  • Proficiency with Microsoft Office Suite, especially SharePoint, Forms, and Power Automate
  • Ability to work independently, manage multiple priorities, and exercise sound judgment

Preferred Qualifications

  • Experience with StarRez or comparable housing management systems beyond frontline use
  • Experience in residential life, housing operations, conference management, or facilities coordination
  • Project management and process improvement experience

Additional Information

Position Number: 106110

Compensation Title: Program Manager I

Work Schedule: Full-time, 1.0 FTE (40 Hours a week), Monday through Friday 8:00 am to 5:00 pm, 12 months/year

Probationary Period: Six (6) months minimum
