Description

The Phyllis J. Washington College of Education (PJWCoE) invites applications for an Operations Manager to join their dynamic team. Reporting to the Associate Dean for the College of Education, the Operations Manager will work as part of a close-knit administrative team made up of a Marketing and Communications Specialist, a Budget Analyst IV, and the Director of Finance and Operations. This position will manage day-to-day operations within the college, provide programmatic support to departments, and develop and implement strategies to improve operational efficiency and effectiveness. This position requires an individual who is driven and self-motivated, innovative, and takes initiative. Someone curious to learn the why behind the work and inquisitive by nature would be well suited for this role. This individual must be comfortable adjusting to changing priorities throughout the academic cycle, demonstrate sound judgment, and maintain a consistently professional, personable demeanor.

Examples of Duties and Responsibilities

Operations Management

  • Provide a professional first point of contact for all college customers.
  • Manage daily office functions such as submitting maintenance work orders, and room scheduling (classes, college/campus meetings and events, and external reservations).
  • Manage office supply orders.
  • Maintain filing system of both paper and electronic documents.
  • Ensures the building is well-maintained, including the initiation, coordination, and management of renovation and refurbishment of technology and the physical spaces of the CoE.
  • Serve on the College of Education Safety Committee.
  • Manage planning and execution of college events in coordination with Marketing and Comms Specialist. Act as liaison between CoE and other campus departments for reserving venues, ordering appropriate event furnishings, catering, and producing materials.
  • Overall, responsible for making sure the building is maintained and day-to-day functions run smoothly with minimal oversight.

Program Management

  • Meet with college leadership and department chairs to discuss and address programmatic needs.
  • Manage the class scheduling process for multiple departments in conjunction with department chairs, the Director of Accreditation, and UMOnline.
  • Act as a liaison between students, faculty, and staff with the greater campus community to problem solve efficiently.
  • Assist with the procurement process, Procard, and travel paperwork, and other tasks as needed to support the CoE budget team.
  • Assist with various college-wide meetings and attend as necessary.
  • Write procedures and propose policy modifications as they pertain to building operations and safety.

Minimum Qualifications

  • High School diploma and two (2) years of experience or an equivalent combination of education and experience.
  • Strong oral and written communication skills.
  • Customer service experience.
  • Ability to take initiative and work efficiently without supervision.
  • Ability to work well with diverse groups of people.
  • Demonstrable proficiency with Microsoft Office Suite, specifically Outlook, Excel and SharePoint.
  • Demonstrated strengths in organization, attention to detail, task completion, and follow-up.
  • Ability to maintain discretion.
  • This position may require occasional travel or work outside of normal business hours for events.

Preferred Qualifications

  • Bachelor’s degree.
  • Experience in the use of UM-specific systems (Banner, UMDW, GrizMart, U-Approve, etc.).
  • Experience with building management and day-to-day logistics management.
  • Vision for ways of improving efficiencies and outcomes with existing processes.

Position Number:067530

Compensation Title: Administrative Associate IV

Work Schedule:Full-time, 1.0 FTE (40 Hours a week), Monday through Friday 8:00 am to 5:00 pm, 12 months/year. Probationary Period:Six (6) months minimum
