UM Housing invites applications for an Occupancy and Operations Coordinator to oversee occupancy management and operational needs of the University Villages (UV).
Examples of Duties and Responsibilities
-
Occupancy Coordination and Apartment Turnover
- Monitor and report on apartment status (e.g., occupied, pending vacate, offline, turnover, ready for move-in)
- Manage applications, waitlists, offers, and related communications
- Process vacate notices and flag units for appliance replacement, maintenance or construction
- Coordinate arrival preparation and schedule after-hours check-ins with student staff
StarRez System Use and Troubleshooting
- Maintain accurate occupancy and facilities data in StarRez
- Provide basic StarRez troubleshooting assistance to facilities and student staff using tablets or mobile devices
Work Order Management
- Enter work orders for cleaning, damages, rekeying, appliance replacement, maintenance, and other needs
- Support work order tracking across all UM Housing areas and ensure communication with relevant area staff
Customer Service and Communication
- Greet and assist customers in-person, over the phone, and by email; serve as primary contact at the UV office
- Address and resolve resident issues and complaints; follow up to ensure satisfaction
Administrative and Operational Support
- Assist with onboarding and offboarding student staff
- Prepare forms, documents, and correspondence with accuracy and professionalism
- Support facilities leadership and Housing leadership with administrative tasks as assigned
- Assist with basic marketing, website updates, and social media tasks as needed
- Complete other duties as assigned
Minimum Qualifications
-
- High school diploma (or equivalency), as well as at least two (2) years of relevant work experience; or any combination of experience and education
- Ability to facilitate and manage working relationships with campus departments, faculty, staff and students
- Ability to work productively and professionally with diverse populations
- Demonstrated provision of exemplary customer service with effective interpersonal, public relations, and communication skills
- Strong organization skills
- Ability to think analytically and problem solve
- Ability to work independently and as part of a team
- Organizational, time management, and multi-tasking skills with the ability to meet deadlines in a busy environment with attention to detail
- Proficiency with the Microsoft Office Suite, including Outlook, Word, and Excel
Preferred Qualifications
- Experience with computers, website development, public relations, communications
- Bachelor’s degree
- Experience in a university housing environment

Position Number: 107400
Compensation Title: Program Coordinator II
Work Schedule: Full-time, 1.0 FTE (40 Hours a week), Monday through Friday 8:00 am to 5:00 pm, 12 months/year
Probationary Period: Six (6) months minimum
Benefits Include: Insurance package, mandatory retirement plan, partial tuition waiver, and wellness program.
