Job Summary
The CUbit Quantum Initiative at the University of Colorado Boulder is seeking a highly organized and proactive Operations Manager to support key administrative, operational, and compliance activities across three strategic domains: the Colorado Quantum Incubator (COQI), the ongoing mission-driven operations of the CUbit Quantum Initiative, and CUbit-administered Quantum Grants. What Your Key Responsibilities Will Be
Colorado Quantum Incubator (COQI) Program Operations
- Serve as the primary administrative liaison for the Colorado Quantum Incubator program, coordinating with academic, industry, and government partners.
- Lead all aspects of program operations including scheduling, meeting logistics, document preparation, and internal communications for incubator activities.
- Track achievements and results for incubator-supported companies and projects.
- Lead the development and optimization of systems and processes for performance measurement and asset tracking tools.
- Direct planning and execution of high-impact events such as cohort launches, investor roundtables, and incubator-hosted programming.
CUbit Operations & Events
- Manage logistics and execution of CUbit-hosted workshops, seminars, and strategic convenings.
- Maintain operational infrastructure including records, calendars, databases, and communications channels.
- Represent CUbit interactions with external partners, visiting scholars, and guest speakers.
- Support CUbit’s outreach and impact strategy through the development of presentations, digital content, and mission-aligned community engagement.
Quantum Grant Administration & Compliance
- Partner with CUbit leadership in managing grant results, timelines, and reporting requirements related to quantum-specific awards.
- Coordinate with CU Boulder’s Office of Contracts and Grants (OCG) and other university compliance units to ensure accurate grant documentation and financial reporting.
- Maintain comprehensive documentation of grant expenditures, activities, and communications.
- Lead preparation of quarterly and final reports, including narrative summaries and financial reconciliations.
What You Should Know
This primarily in-person position will work at the Quantum Incubator at 5555 Central Avenue in Boulder, CO, and has an anticipated work schedule of Monday – Friday during regular business hours.
What We Can Offer
- The annual hiring range for this position is $72,000-$89,000.

What We Require
- Bachelor’s degree and 3+ years of progressively responsible experience in administrative operations, program management and/or project coordination experience.
- An equivalent combination of education and experience may substitute.

- Demonstrated ability to prioritize, pay close attention to detail and stay organized.
- Ability to manage complex workflows, supporting cross-functional teams and engaging with internal and external partners.
- Demonstrated capability to excel autonomously, demonstrate good judgment, and adapt in a dynamic, fast-paced setting.
- Proficiency in Microsoft Office 365 (Word, Excel, Teams, PowerPoint, Outlook) and DocuSign.
What We Would Like You to Have
- 4+ years of experience in administrative or operational management.
- Experience supporting senior-level executives and managing complex and sensitive issues.
- Experience with event planning, constituent engagement, or working in a startup/incubator environment.
- Familiarity with university research administration and/or state-funded grant compliance.
