What We Can Achieve Together

The Operations Specialist, Micronesia and Polynesia, will work as part of a team within the Micronesia and Polynesia business unit coordinating operational and administrative tasks for the program including, operations executive support, procurement, meetings management, special events, safety, logistics, facilities, contracts, corporate filings and banking. The Operations Specialist role is based in The Nature Conservancy’s office in Majuro, Marshall Islands.

The Operations Specialist will work towards meeting the strategic priorities of the program by implementing approved plans and carrying out day-to-day tasks and activities. They will be responsible for the planning and execution of logistics for special events and meetings; purchasing and procurement; maintaining central filing systems; coordinating facility operations and telecommunications; serving as a safety focal point; managing executive calendars; preparing correspondence and contracts; and ensuring timely completion of corporate filings. In addition, the Operations Specialist will support Information Systems, Human Resources, and Finance functions by performing a range of administrative tasks. These include processing forms, reviewing and preparing expense reports, managing banking activities, tracking public funding data within BBCRM, preparing reports and forecasts, and monitoring as well as preparing budgets. The Operations Specialist will play a key role in supporting program activities and ensuring smooth operations across the Conservancy. They will respond to inquiries, develop program materials, and draft correspondence with accuracy and professionalism. Well-versed in the systems and resources utilized by the team, they will execute assigned tasks efficiently and effectively.

Responsibilities include maintaining, tracking, and researching data; producing and reviewing reports; and conducting program analysis to inform decision-making. Drawing on extensive knowledge of organizational policies and procedures, the Operations Specialist will provide guidance to meet administrative requirements and offer backup support for operations and team members as needed.

They will implement processes and practices to enhance efficiency and effectiveness, while fostering communication across diverse stakeholders. This includes engaging with staff across Conservancy programs, as well as donors, volunteers, vendors, partners, government representatives, and community members. By distributing information and facilitating communication, the Operations Specialist will help staff make informed decisions, solve problems, and improve workflow.

What You’ll Bring

  • Bachelor’s degree and 2 years of related experience (or equivalent combination, such as an associates degree and 4 years of experience).
  • Experience in implementing and following administrative processes;
  • Experience generating reports and interpreting data;
  • Experience in business writing, editing, and proofreading;
  • Strong organization skills, accuracy, and attention to detail
  • Skilled in managing schedules and balancing multiple responsibilities to achieve timely results; and
  • Experience working across teams and communicating with a wide range of audiences.

Desired Qualifications

  • Multi-lingual skills and multi-cultural or cross-cultural experiences are appreciated;
  • Ability to analyze information for the purpose of coordinating and planning activities, and solving problems;
  • Ability to use existing technology to achieve desired results;
  • Excellent customer service skills and focus;
  • Experience interpreting guidelines to achieve desired results;
  • Knowledge of current trends in administration and operations.

Salary Information

This position will be based in Majuro, Marshall Islands. The starting pay for this position is generally within the range of $22,000 - $30,000 for annual base salary and is based on location, qualifications, skills, and experience. Your geographic location and employment authorization will be confirmed during the recruitment.
