GENERAL DESCRIPTION:


The DWS Grants and Contracts Administration Specialist assists the Workforce Development Training Fund Program by providing support to the training grants under the program. This individual will be responsible for the grants and contracts administrative responsibilities and all other support functions for the maintenance and expansion of the Workforce Development Training Fund training grants.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function that may be performed at the job level.


  • Assist program lead with grant management duties, including the monitoring of grant processes and tracking systems, reviewing applications, progress/final reporting, general data reporting, and corresponding with businesses as needed
  • Manage general program emails, phone calls/messages, scheduling, and meeting minutes as needed, and distribute emails, voicemails, and help tickets
  • Act as the first point of contact for individuals calling to inquire about the program
  • Provide support for meetings such as the Wyoming Workforce Development Council, including scheduling meetings, sending invites, and keeping track of committee changes and updates
  • Assist with the preparation of program presentations and updating outreach materials
  • Assist with Contract Management for all grants, including updating contracts and Letters of Agreement, and ensuring that contracts are progressing
  • Prepare and assist with grant reports and data tracking/collection
  • Serve as a point of contact for temporary staff and provide training as needed under the direction of the Program Lead

Qualifications


KNOWLEDGE:

  • Knowledge and understanding of effective communication and customer service skills
  • Ability to use critical thinking and problem-solving skills
  • Attention to detail and the ability to shift priorities based on program work needs
  • Ability to be flexible based on program needs
  • Ability to work independently as well as with a team
  • Strong computer skills, including typing, Excel, Word, and Google
  • Strong communication skills, both written and oral


MINIMUM QUALIFICATIONS:

Education:
Bachelor's Degree (typically in Business)
Experience:
0-1 years of progressive work experience (typically in Business)
OR
Education & Experience Substitution:
3-4 years of progressive work experience (typically in Business)
Certificates, Licenses, Registrations:
None
