This position is open for recruitment and fully funded following the 2025 Special Legislative Session.

The role:

Join our team as the region executive assistant where you will provide executive support for the region manager, area manager and Area Commission on Transportation (ACT). You will work in partnership with human resources staff, assist with position management functions, process personnel actions and maintain organizational charts. A day in the life:

  • Provide executive support to the region manager and area manager.

  • Prepare letters, reports and memos.

  • Track all incoming and outgoing documents for management.

  • Track, record and transcribe all meeting and conference notes.

  • Maintain calendars and schedule appointments for management.

  • Provide administrative support to the Area Commission on Transportation.

  • Provide direction and guidance to crew staff.

  • Maintain region 5 position management funding inventory, monitor and track human resources reports and more.

  • Provide other administrative duties as required including safety related tasks, preparing agendas and maintaining organizational charts.

  • Work in a typical office environment with frequent computer and phone use that includes extended periods of sitting or standing. This position requires incidental driving to periodic meetings and occasional trainings.

Minimum qualifications:

One year of experience performing administrative duties in support of agency projects or programs.

Note: Qualifying experience would involve data collection and analysis; project evaluation and/or analysis; interpretation and application of laws, rules, and regulations; or similar experience.

Special qualifications:

Driving is an essential function of this position. You must have a valid US driver license and an acceptable driving record. We will conduct pre-employment driving records checks on our final candidate(s). Your license does not have to be issued in Oregon to be considered.

  • General knowledge of the principles of work organization and simplification.

  • Basic knowledge of research techniques sufficient to collect, analyze, interpret and report data in both a narrative and statistical format.

  • Experience performing secretarial or administrative support functions, requiring independent judgement and problem resolution.

  • Proven experience assisting management in the development of short- and long- range goals and objectives.

  • Proven experience assisting a director or administrator in formulating and implementing agency policies and procedures.
