The Oregon Department of Corrections has an opening for an Office Specialist 2 at the Central Office. This position will be stationed at ODOC Headquarters in Salem, Oregon. You MUST be a current employee (contract workers excluded) of DOC, OCE, or BOPPPS to apply. All interested parties are encouraged to apply. About the Job – Your Role

To provide clerical support services that support the Operations Division and DOC-HQ Building.

This position involves serving as the primary receptionist for the HQ building, acting as the first point of contact for visitors and callers, and ensuring a professional, welcoming environment. In addition to the front desk responsibilities, this role provides essential clerical support to the Operations Central Management Team. This includes managing correspondence, scheduling meetings, preparing documents, maintaining records, and assisting with other assigned tasks.

Minimum Qualifications

Your application materials will be reviewed to verify that you have:

  • Two (2) years of general clerical experience that includes keyboarding, word processing, or other experience generating documents; OR
  • An associate degree in any field; OR
  • A equivalent combination of education and experience.

Requested Skills

  • Provide customer service; telephonically, electronically and in person.
  • Strong communication skills (verbal and written).
  • Managing and working with confidential information.
  • Interpret and apply statutes, rules, regulations, policies, procedures, and guidelines.
  • Processing and tracking all incoming and outgoing certified mail, correspondence, packages, and other deliveries within a 24-hour period.
  • Knowledge using shipping software and other equipment's.
  • Ability to submit package reports and create shipping/mail labels for outgoing mail and packages.
  • Checks all incoming mail and packages for suspicious markings or indicators of tampering.
  • Assist staff and visitors with check-in and check-out procedures, ensuring visitors are issued a badge and visiting staff wear their DOC ID or other agency identification.
  • Provide Notary Services on Oregon Department of Corrections Forms for visitors and staff.
  • Update and maintain reception desk manual, DOC-HQ alphabetical and unit phone directories, and other contact lists.

Working Conditions

This position is located at the ODOC Headquarters in Salem, Oregon. You will work in an office environment and work independently. This position functions under considerable pressure through changing deadlines, detailed tracking, and constant interruptions.

The salary range listed above is for non-PERS qualifying applicants. PERS qualifying applicants may be eligible for an adjusted range to reflect an additional 6.95%.

Requirements for Employment

The successful candidate for this position must pass a Criminal Justice Information Systems (CJIS) fingerprint-based background check and maintain CJIS eligibility. Due to CJIS requirements related to system access, there may be some felony convictions that could disqualify you for this position.
