The Office of Workforce Development (OWD) is a key division of Louisiana Works managing programs in workforce training, job placement, apprenticeships, and business engagement. Through collaboration with local boards, educational institutions, and industry partners, OWD aims to improve economic mobility for job seekers and ensure Louisiana employers have the skilled talent they need, contributing to the state’s economic growth.
The Administrative Assistant 5 serves as the special assistant to the Workforce Development Administrator within the Office of Workforce Development (OWD). This position requires the ability to work independently while exercising a high degree of judgment, discretion, and initiative in addressing non-routine matters. The incumbent must develop and maintain a comprehensive understanding of policies, procedures, mission, and core values.
The incumbent is expected to remain informed of program trends and upcoming special projects, proactively anticipating scheduling needs, staff availability, and associated equipment and material requirements. This role requires the ability to establish priorities, manage and maintain project timelines, keep the Administrator informed of progress, and effectively communicate with internal and external leadership to ensure projects remain on track.

- Four years of experience in administrative services.
EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience. Job Specification

Job Duties and Other Information

Job Duties:
- Manage the Administrator’s daily schedule, including routine operations and special projects, with general guidance.
- Process routine documentation and enter data into spreadsheets, logs, and databases in accordance with program requirements.
- Prepare requisitions for the purchase of supplies, including entry into automated procurement systems.
- Compile information from multiple sources and prepare specialized reports, ensuring adherence to departmental formatting standards.
- Independently draft and prepare correspondence involving complex, sensitive, and non-routine matters.
- Compile and prepare special reports by selecting and synthesizing relevant information from reports, documents, correspondence, and electronic files.
- Prepare meeting materials, including agendas, handouts, and binders.
- Serve as a liaison between the Administrator and staff, assessing the urgency of matters and briefing the Administrator as needed.
- Respond to requests for information, which may require interpretation of departmental policies, rules, and regulations.
- Assist with special projects as needed.
- Perform other duties as assigned.
