Northwestern State University of Louisiana is currently accepting applications for the position of Administrative Assistant 3. This role provides advanced administrative support and plays a key part in the day-to-day operation of the Department of Nursing. The department is seeking a detail-oriented, organized, and dependable individual who thrives in a fast-paced environment.

Minimum Qualifications

Two years of experience in administrative services.

EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Job Duties and Other Information

Job Duties:

  • Answers telephone quickly, correctly, and in a friendly, courteous manner.
  • Consistently provides clear, accurate information to the caller.
  • Collects, dates, logs, sorts, and distributes material to the appropriate persons promptly.
  • Communicate and provide information by relevant methods internally and externally to assist and enable organizational operations and effective service to connecting groups (Ex, clinical application processing, appeal processing, clinical orientation preparation).
  • Create various tools and reports using spreadsheets.
  • All confidential/outdated material is maintained under security until destroyed in accordance with established procedures and schedules.
  • Compiles information from various sources and prepares specialized letters; formats letters according to department standards (Ex, appeal letters, clinical acceptance/rejection letters). Performs responsible departmental-program duties in accordance with rules, regulations, and policies. May involve communication with other departments, customers, etc (Ex. LSBN). Serves as the contact person for the department between other departments, customers, vendors, and agencies. (Ex. LSBN).
  • Schedules and proctors nursing students for ATI TEAS exams.
  • Additional duties as assigned by the Director of Undergraduate Nursing Programs, Senior Director of Nursing, and/or the Dean of the College of Nursing and School of Allied Health.


Position-Specific Details:
Appointment Type: Regular, probationary, or promotional

On-Site Responsibilities /Standard Schedule

  • Full-time, Monday–Friday schedule

Location: Shreveport campus

Because this role includes:

  • answering department phones,
  • receiving and distributing documents,
  • maintaining secure files,
  • proctoring exams, and
  • serving as a point of contact for students and visitors,

It requires on-campus work, not remote.
