The incumbent of this position functions in a highly responsible position as both confidential and administrative assistant.

Minimum Qualifications

Five years of experience in administrative services.

EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience. The maximum substitution allowed is 120 hours, which substitutes for a maximum of four years of experience.

Job Duties and Other Information

Job Duties:

  • Serves as liaison by corresponding with other Executives such as Undersecretary and Assistant Secretaries.
  • Performs duties independently and exercises a high degree of independent judgment in determining the most feasible approach/action to take in completing assignments.
  • Composes and types of administrative memorandums, letters, and other correspondence regrading programs and policy and procedures.
  • Receives, greets and screens all incoming phone calls and visitors.
  • Schedules and coordinates meeting and conference calls while maintaining electronic calendar.
  • Prepares and assists with the development of meeting materials such as briefings, presentations, spreadsheets, agenda and handouts.
  • Performs other duties and responsibilities as required and assigned for the smooth operation of the office.
Position-Specific Details:
Appointment Type: This is a promotional position open to current permanent classified Department of Children and Family Services employees ONLY. Also, it may be filled as a detail and promoted within 12 months.

Work Schedule: Typically, work hours are 8:00 am to 4:30 pm, Monday – Friday. Flexible work schedules are available after meeting certain criteria and is dependent upon the position you are applying for. Some positions require working shifts.
