ABOUT THIS JOB:

Office of Enforcement – Executive Division

The Executive Division coordinates and administers the various activities of the Office of Enforcement in Baton Rouge, LA. Among the primary responsibilities of the Executive Directors Office staff is the oversight of statutory responsibilities and regulations, professional service contracts, budget, personnel, information, safety, and emergency matters.

LOCATION AND POSITION INFORMATION:

This Administrative Assistant 6 is located within the Executive Division of the Office of Enforcement and reports to the Executive Director. This position serves as the confidential executive assistant to the Executive Director and provides administrative support, assistance, and coordination to research, document, and oversee various projects for the Office of Enforcement. Such duties are assigned by the Executive Director. Upon the Executive Director's request, this position exercises influence and/or authority on office management, personnel matters, and procedures as related to the Divisions of the Office of Enforcement.

Minimum Qualifications

Five years of experience in administrative services.

EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience. The maximum substitution allowed is 120 hours, which substitutes for a maximum of four years of experience.

Job Duties and Other Information

Job Duties:

This position requires the use of excellent people skills, strong computer and organization skills and excellent communication skills. Maintaining a professional nature is vital. This position also provides supervision and training of student employees, interns and other administrative staff in the daily function of the Office of Enforcement's main reception desk. Duties and responsibilities include, but are not limited to the following:

  • Oversees the daily operations and professional presentation of the Office of Enforcement’s Executive Division, including managing correspondence, prioritizing workflow, and tracking the processing of all communications.

  • Exercises independent judgment in coordinating the Executive Director’s schedule, appointments, and preparation needs for hearings, meetings, conferences, and other engagements.

  • Conducts independent research and collaborates with the Legal Division, HR offices (DENR HR and C&E HR), and other staff to prepare materials and address personnel-related matters.

  • Serves as a key liaison with legislators, congressional offices, and external stakeholders requesting meetings or information for constituents.

  • Functions as Primary Time Administrator for the Executive Division and Secondary Time Administrator for the Orders and Inspections Divisions; manages the main reception desk, ensures proper processing of high-volume incoming mail, and coordinates handling of live checks.

  • Manages property control, inventory, purchasing (including P-Card and LaGov requisitions), and collaborates with Business Analytics to review and approve monthly transaction registers; also coordinates special projects and prepares reports for leadership and statewide stakeholders.

  • Compensation: The salary offered will be determined based on qualifications and experience.
