Minimum Qualifications
- Four years of experience in administrative services.
EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience. Job Specification

Job Duties and Other Information

Job Duties:
Acts as HR liaison by handling field staff personnel requests to the appointing authority on a daily basis by documenting requests, securing appropriate signatures, etc.
Maintains and consistently updates a spreadsheet of currently employed personnel (300+ classified positions and 80+ part time positions) as well as a vacancy list with a tracking component.
Attends trainings/meetings related to HR procedures or documents to remain current on all information and enforce these procedures with field staff.
Manages all La carte purchasing for the Administrative Office. Keeps inventory of office supplies and completes necessary documentation for all purchases.
Answers multi-line phone and directs calls to appropriate departments. Screens all phone calls daily, providing accurate messages. Responds appropriately to customers regarding inquiries about State Parks, and gives information regarding polices, rules, reservations, etc.
Manages customer complaints and concerns. Provides information, follow-up, investigates issues at the parks, and provides to Assistant Secretary.
Supervises and regulates the issuance of permits to qualifying veterans, allowing them exemption from paying the day use entrance fee at State Park facilities; averaging 2000 permits issued annually.
Retrieves mail and interdepartmental mail daily and distributes accordingly. Prepares outgoing mail daily. Schedules package pickups and processes invoices for services.
Manages the calendar for the Deputy Assistant Secretary, scheduling meetings, assisting with administrative tasks, drafting correspondence, managing projects, etc.
Serves as point of contact for State Archives to ensure compliance with archive guidelines for retention and disposal of records.
Manages, supervises, and establishes procedures for the agency's electronic filing system for agency records, to include batching, sorting, scanning, and filing documents for the agency, requiring long-term retention.

Location: State Parks Administrative Office, in Baton Rouge, LA
Work Schedule: The State Parks Administrative Office is open Monday-Friday, typical office hours are 8am-4:30pm. This position will work full-time hours, 40 hour work week. Schedule includes paid time off for state holidays.
Travel: Position requires occasional travel to state parks and historic sites, statewide, as needed for meetings, training, etc. When travel is required, a state vehicle is provided for employee use while on duty.How to Apply:
