Join our team as the Administrative Assistant 6, providing high-level, confidential support to the Assistant Secretary and Medical Director of the Office of Behavioral Health. This role offers the opportunity to work independently, manage sensitive matters, and play a key role in supporting executive leadership.

Minimum Qualifications

Five years of experience in administrative services.

EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience. The maximum substitution allowed is 120 hours, which substitutes for a maximum of four years of experience.

Job Duties and Other Information

Job Duties:

  • Serve as liaison between the Assistant Secretary, Medical Director, and various federal, state, and local agencies, ensuring timely communication and follow-up on important correspondence.
  • Coordinate and manage executive meetings, including scheduling, preparing agendas, taking minutes, tracking action items, and arranging logistics for workshops and appointments.
  • Screen and prioritize calls and inquiries for the Assistant Secretary and Medical Director, addressing or directing matters appropriately to ensure prompt and effective resolution.
  • Maintain operations in the absence of leadership, ensuring requests for information or action are handled efficiently and accurately.
  • Oversee time administration processes, including auditing records, providing guidance to administrative staff, and ensuring compliance with LDH and OBH policies.
  • Prepare and coordinate travel arrangements for the Assistant Secretary, Medical Director, and other staff, ensuring adherence to state travel regulations and procedures.
