The Office of the Provost is seeking an Executive Assistant to the Executive Director, Huang Complex . This is a full-time (1.00 FTE), 12-month, professional faculty position.

The Jen-Hsun Huang and Lori Mills Huang Collaborative Innovation Complex (Huang Complex) will be a dynamic home for team-based transdisciplinary research and teaching. It will be a place where creative, driven faculty and students come together to solve critical challenges facing the world in areas such as climate science, clean energy and water resources. It will be home to one of the nation’s most powerful supercomputers and will advance the application of AI to OSU’s areas of strength. The 143,000 square-foot Huang Complex will support innovation, entrepreneurship and partnerships with industry, while preparing graduates for Oregon’s workforce and beyond. The $200 million complex, made possible with generous gifts to the OSU Foundation from alumni couple Jen-Hsun Huang and Lori Mills Huang and the Wayne and Gladys Valley Foundation, is planned to open in 2026.

The Executive Assistant provides executive-level administrative support, project management, and event management to the Executive Director of the Huang Complex. The EA serves as the Executive Director’s liaison with administrators, faculty, staff, and external stakeholders. The EA manages the Executive Director’s calendar and travel, develops correspondence and reports, and manages projects.

The EA is reviewed annually, with regular check-ins with the Executive Director throughout the year.

Key Responsibilities
Executive Assistant Duties (100%)
  • Provides direct executive administrative support to the Executive Director.
  • Communicates directives and information from the Executive Director to others in the organization.
  • Maintains confidential files and records on behalf of the Executive Director.
  • Manages events as determined by the Executive Director.
  • Manages outreach and engagement efforts including serving as the liaison for the Executive Director with internal and external constituents and stakeholders.
  • Manages short- and long-term projects and initiatives as determined by the Executive Director.
  • Manages, coordinates and arranges for Executive Director’s travel, calendar, meeting and event planning and tracks expenses on behalf of the administrator.
  • Participates in the development and implementation of policies, procedures and practices of the Huang Complex.
  • Provides HR and budget liaison on behalf of the Executive Director as needed.
  • Researches and assembles information from a variety of sources for the preparation of records and reports; drafts and provides input on correspondence for the Executive Director.
  • Works collaboratively and collegially with colleagues across the University and external to OSU.
  • May be invited to serve on committees.
  • Other duties as assigned.
What You Will Need
  • Bachelor’s degree and three years of providing administrative support to leadership
  • Ability to appropriately work with sensitive and/or confidential information.
  • Ability to communicate and work effectively with faculty, middle level leaders, and executives.
  • Ability to exchange detailed information and resolve varied problems and challenges.
  • Ability to identify needs/concerns of others and determine potential solutions, resolve or redirect appropriately.
  • Ability to independently manage projects and drive work forward to achieve clear results; ability to persuade, gain cooperation, and acceptance of ideas or collaborate on significant projects.
  • Ability to plan and execute high-quality events, ranging from small meetings to large, high-impact/high-expectation events.
  • Ability to proactively manage, coordinate and arrange for an executive-level administrator’ calendar, travel, meetings, and events.
  • Ability to work collaboratively and collegially; ability to develop and maintain strong work relationships to ensure progress.

What We Would Like You to Have
  • Current employment at Oregon State University in an Executive Assistant role, or over three years in an Administrative Assistant role reporting to a unit head or executive.
  • Ability to use AI tools (examples: Otter/Monday/Syperhuman)
  • Personnel management experience.
  • Budget management experience.
Working Conditions / Work Schedule
This is an on-site (not remote) position in a typical office environment, working during typical office hours. Some work during nonstandard hours may be required for special events and the like. Some overtime may be expected.
