Position Summary
This recruitment will be used to fill two (2) part-time (a maximum of 24 hours per week) Administrative Senior Residential Conference Assistant for the Residential Conferences Management (RCM) at Oregon State University (OSU).

The purpose of this position is to assist the Residential Conferences Management (RCM) with all administrative aspects of the summer conference program.
ASRCAs support the RCM by handling administrative tasks related to the planning, preparation, and execution of conferences throughout the year. Responsibilities will encompass attending weekly staff meetings, upkeeping conference documents, leading and scheduling follow-up meetings, providing miscellaneous support for the RCM, and offering feedback and suggestions for refining operational processes.

ASRCAs report to the Residential Conferences Management team and work up to 20/24 hours per week during Spring Term and 40 hours a week during the Summer.

Position Duties

  • Direct and prioritize daily Residential Conferences teamwork and projects according to conference and guest needs. Ensure the successful operation of the conference halls.
  • Foster a team environment with the SRCAs and RCAs.

Conference Administration and Management

  • Coordinate, assist with, and participate in a conference’s arrival and departure. First point of contact for Conference Sponsors. Ensure all keys and access cards are accounted for prior to arrival and after departure.
  • Generate emails to Conference Sponsors regarding timelines, room assignment rosters, and final conference counts.
  • Monitor Residential Conferences email account to collect information from Conference Sponsors and respond to questions and requests.
  • Communicate with Service Centers and Dining Centers regarding conference group details.
  • Work with other SRCAs and Residential Conferences Management to schedule duty and front desk coverage.
  • Keep accurate records of keys, damages, lost and found, and building occupancy for billing purposes.
  • Be knowledgeable about UHDS, OSU, Corvallis, and surrounding areas to answer questions, ensure the best representation of our facilities and services, and direct guests to destinations.
  • Maintain multiple Residential Conference documents such as the Conference Information sheet and Task Sheet.
  • Update and maintain conference records on StarRez Community Management system.
  • Attend weekly conference preparation meetings
  • Assist in building Canvas or SharePoint training module pages
Building Management

  • Coordinate building maintenance concerns between Residential Conferences Management and maintenance teams. Input issues into the work order management system. Ensure work has been completed by respective teams.
  • Communicate regularly with Residential Conferences Assistants staff to ensure collaboration and communication of the conference activities, facility issues, and damages.
  • Maintain and upkeep of Linen Rooms in coordination with the members of the Residential Conferences Management Team.
Safety and Security

  • Address, report, and document any guest conduct problems, injuries, or incidents. Report any inappropriate guest behavior to the on-site conference contact, Resident Director on-duty, and/or Residential Conferences Management.
  • Assist all Law Enforcement Agencies when necessary and within OSU policy and procedure.
  • Be aware of guest activities in the building to ensure guest and facility safety.
  • Maintain the confidentiality of records as stipulated by FERPA (Family Educational Rights and Privacy Act).
Staff Relations and Staff Development

  • Participate in and lead trainings as scheduled by Residential Conferences Management.
  • Develop positive working relationships with the Residential Conferences Management and other UHDS staff. Functions as a team player with Operations staff.
  • Treat all staff members, other department staff, and customers with courtesy, respect, and consideration.
Minimum Qualifications
  • Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study
  • Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment
  • Must meet the applicable minimal enrollment standard
    • High School student: Regularly enrolled in a high school or participating in a home-schooling program
    • Undergraduate and post-baccalaureate student: 6 credit hours per term
    • Undergraduate international student: 12 credit hours per term*
    • Graduate student officially admitted to Graduate School: 5 credit hours per term
    • Graduate international student officially admitted to Graduate School: 9 credit hours per term*

*International students may be allowed to carry fewer hours than specified above and still be considered “full-time” by the United States Citizenship and Immigration Services (USCIS). A reduced course load is approved by the Office of International Services (OIS), and must be provided to the Student Employment Center.
Additional Required Qualifications
  • Applicants must maintain current student status at a college or university and a cumulative 2.50 GPA.
  • This position requires good judgment, motivation, self-starting abilities, energy, commitment, attention to detail, a caring and positive attitude, self-discipline, sensitivity to racial and cultural diversity, and common sense.
  • Pursuant to UHDS policy, this position is required to maintain current Cardiopulmonary Resuscitation (CPR) certification (if cognitively and physically able to do so) within 30 days of employment or when training becomes available by the department. Training is provided at department expense. Duty to act ends at summoning professional assistance.
  • Must be able to climb stairways and lift and carry linen, packages, and/or supplies up and down stairs.
  • This position is required to work in and have access to student rooms and community areas while occupied by residents and guests; therefore, the position requires a criminal history check.
  • Must be eligible to work up to 20/24 hours/week during Fall/Winter/Spring Term. University policy prohibits students from working more than 20/24 hours/week while maintaining an active student status.
  • Must be eligible to work 40 hours/week during Summer Term. University policy prohibits students from working 40 hours/week, if taking 5 or more credits combined across all summer sessions.

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a Criminal History Check and be determined to be position qualified as per OSU Standard 576-055-0000 et seq. Incumbents are required to self-report convictions and those in Youth Programs may have additional Criminal History Checks every 2 years.
Preferred (Special) Qualifications
  • Experience working as a Resident Assistant, Senior Residential Conferences Assistant, Residential Conferences Assistant, Building Services Assistant, Service Center Customer Service Representative, or related position.
  • Customer service experience.
  • Supervision experience and/or demonstrated ability to lead a team of peers.
  • Experience using Microsoft Office including Word, Excel, and Outlook
  • Experience using SharePoint/One Drive.
  • Experience using StarRez Conference Management Software
Working Conditions / Work Schedule
20-24 hours weekly through June 13th. Then 40 hours per week in the summer (6/14 – 9/18)
