Job Summary
This recruitment will be used to fill one part-time (approximately 20 hours per week) Administrative Program Assistant position for the Department of Horticulture at Oregon State University (OSU).

This position resides in the Department of Horticulture and supports various programs including Horticulture, Entomology, Plant Breeding and Genetics, undergraduate degree programs and the Horticulture Graduate Program. This position provides service to a variety of audiences: prospective and current students, in degree seeking and non-degree seeking status, as well as faculty and other OSU administrative units. The nature of the service requires knowledge of and articulating institutional policy and procedure related to admission, registration, program requirements across a variety of undergraduate degree programs and minors, and Horticulture Graduate Program. The incumbent is expected to provide excellent customer service and requires knowledge of university, college, graduate school, and department operations, procedures, and guidelines.

Key Responsibilities
50% Academic Programs
  • Support Academic advisors with course overrides, enter overrides in Banner, and assist students with registration issues.
  • Direct inquiries from prospective students to the Head Advisor or the Ecampus Advisor.
  • Access SLE (SET) report browser and facilitate the distribution of college and department SLE (SET) reports at the end of each term.
  • Process graduate applications, review for completeness, communicate with applicants regarding the status of their application, and maintain graduate student files.
  • Assist Graduate Director on the submission of Department Admissions (DAFA) decisions in the SLATE system.
  • Assist graduate students with registration as needed.
  • Input all course scheduling edits and updates into the university course scheduling system. Respond to rollbacks on errors and coordinate with instructors, advisors and CSS to determine history of course scheduling, provide information for requesting exceptions and approval.
  • Provide reminders to instructor for grades missing, answer questions about grading and direct queries about Canvas and Ecampus appropriately.
  • Connect instructors with Beaver Bookstore for textbook ordering and as needed, support the creation of open source or lab kits for bookstore inventory.
  • Annually update course catalog in Registrar’s online system for graduate pages and support others’ updates in the catalog; coordinate with faculty to get program information for the catalog updated (PBG and ENT) across departments.
  • Coordinate with faculty instructors, the department, and Financial Strategic Services about inclusion of course fees as appropriate per term. Prepare information and track Course Fees in the Fee Book. Coordinate with the Financial Strategic Services and instructors to review course fees for required updating and submit the Course Fee updates annually. Create and submit course fee proposals in the Fee Book.
  • Participate in the undergraduate and Graduate Curriculum Committees, providing reports and writing meeting summaries.
  • Demonstrate a commitment to diversity, equity, and inclusion by providing accessible, culturally responsive support to students and faculty; ensuring communication, registration assistance, and academic processes remove barriers and promote a welcoming environment for all.


45% Program Reporting
  • Process all Curriculum Proposals in CIM, coordinating with the Curriculum Committee Chair and instructors to respond to all questions and facilitate the review and approval in the university course catalog and program proposal system.
  • Post CIM proposal (Catalog proposal system) approval, coordinate with program proposers and course proposers to update information on the website and get the course in the correct term schedule.
  • Work with Graduate Program Director to revise/update Graduate Program Exit Surveys using Qualtrics as appropriate to capture current trends and prepare reports.
  • Assist Admin Manager with ScholarDollars, coordinate with Scholarship Office and Financial Strategic Services (FSS) accountant and Scholarship Committee to update and input Scholarship Fund documentation, criteria and fund dollar amounts for each Academic Year. Process (review and sort and format) all scholarship applications for Scholarship Committee Reviewers, process awards, communication with students about award notifications
    and modifications to the awards.
  • Provide edits to scholarship award information for the website. Facilitate the updating of the Scholar Dollars Department of Horticulture Application.
  • Add external scholarships to ScholarDollars, coordinate with Scholarship Committee, OSUF and FSS and print, label and send “Thank You letters” from students to donors for awards. Plan the scholarship review process and deadlines, schedule meetings for Scholarship Committee.


5% Office Support/Back up
  • Attend monthly business office and faculty meetings to record notes and publish to department share drive upon completion.
  • As needed, serve as back up for designated tasks in the absence of other office staff members
  • Other duties as assigned.
What We Require
Three years of office experience which included two years at full performance level and experience generating documents; and Lead work responsibility or coordination of office procedures.

Experience providing customer service or administrative support to individuals from diverse backgrounds, demonstrating the ability to communicate clearly, respectfully, and inclusively.

Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
