| Position Summary | This recruitment will be used to fill 5 part-time (a maximum of 24 hours per week; anticipated 15 – 20 hours per week) student positions at the Information Desk within the MU for the fall of 2026 – spring 2027 academic year. The MU Information Desk assists with the daily operations of the building through a static desk staffed during open MU building hours. This position contributes greatly to the success of the Memorial Union and is a part of the Guest Services Unit. The Information Desk is a fast-paced, customer service focused position that requires attention to detail, strong administrative skills, and proven strength in listening and communication. This position asks for autonomous work and demonstrates critical thinking skills. Successful staff members will demonstrate strong intrapersonal and interpersonal skills guided by the MU Values of Service, Inclusion, and Accountability ( https://mu.oregonstate.edu/about). The decisions made by staff in this role can affect relationships with external vendors, employees, students, departments, guests, and the reputation of the Memorial Union. Overall job effectiveness is tied to the ability to establish and maintain credibility and good rapport with all guests of the MU as well as fellow staff members, while offering the highest quality of customer service. This role is supervised by the Memorial Union Operations Manager. As employees of Oregon State University, Information Desk staff are university representatives, and are to abide by university policies, state, federal, local laws, and MU policies in their relationships and contacts both on and off the campus throughout the duration of their employment. |

| Position Duties | CUSTOMER SERVICE - Represent the MU with professionalism by promoting services, educating guests and clients on policies, and fostering a welcoming, inclusive environment that encourages engagement.
- Promote MU Values of Service, Inclusion, and Accountability throughout all interactions.
- Deliver exceptional service to clients and facility users in person, over the phone, and via email. Provide accurate information on MU and OSU services and make effective referrals to appropriate departments to ensure seamless guest and client experiences.
- Maintain a calm and courteous demeanor when interacting with visitors to the MU and resolve or refer concerns and complaints to full-time MU staff and supervisors.
- Monitor MU Information Desk telephone, voicemail, email, Microsoft Teams Channels, and radios; responding to all inquiries in a prompt and timely manner.
- Remain an alert, available, and responsive presence while working. Display signage and arrange for temporary coverage whenever the desk may be unstaffed.
- Provide accurate wayfinding directions for facilities and spaces supported by the Memorial Union.
OPERATIONAL SUPPORT - Facilitate daily communication between MU Guest Services and MU Building Services. Utilize radio communication, Microsoft Teams, and office phone to update and dispatch MU team members.
- Support MU Reservations by responding to event inquiries and monitoring all daily scheduled events.
- Utilize MU Reservation software, “Mazevo,” to verify event access and monitor facility and equipment needs. Manage all data entry tasks in Mazevo with precision and privacy. Update bookings and reservations as directed by supervisor and MU Reservations.
- Manage the approval and creation of new users within Mazevo and provide in-person coaching as users create event bookings.
- Process payments and cash transactions for event reservations, art sales, and MU tenant revenue. Adhere to department policies and maintain fiscal integrity and confidentiality of financial records.
- Perform office tasks that include, but are not limited to, receiving and sorting mail and packages, ordering and restocking office supplies, utilizing photocopiers and printers, and creating and laminating signage using Canva and Microsoft applications.
- Oversee the approval and posting of physical advertisements in conjunction with MU Creative Studio.
- Serve as the central location for all MU Lost and Found items. Maintain a detailed and accurate inventory and inspect all items for identifying information while attempting to contact rightful owners.
- Manage and track the distribution of MU rented equipment which includes board games, yard games, and phone chargers.
- Support OSU campus vending machines in conjunction with MU Operations Manager by reporting snack and drink vending machines that require maintenance, communicating issues to Building Managers, and issuing refunds when appropriate.
- Review daily Event Services, Building Monitor, and Custodial reports and submit Info Desk shift reports at the conclusion of each shift.
- Maintain an organized and clean appearance of all MU Guest Services work areas. This includes performing routine office tasks such as cleaning, disinfecting touch points, straightening, and recycling.
- Assist with special departmental projects, including phone communications, internal meeting reservations, data entry, and other operational tasks that support the department’s goals assigned by Operations Manager.
SAFETY, SECURITY, AND EMERGENCY MANAGEMENT - Maintain the safety and security of the MU 112 office by monitoring guest and staff traffic, limiting access beyond the waiting room, and opening and securing the MU Info Desk at the beginning and end of each day.
- Issue keys and approve access to event spaces, retail locations, office suites, and the MU mailroom following designated MU policies and training. Info staff are responsible for conducting a daily inventory of all keys and communicating to supervisors if any are missing, damaged, or observed being used outside of expected protocol.
- Maintain the security of the safe located within the MU. Manage access to Cash Bags, deposits, and Cash Box for refunds and making change. Secure all Lost & Found items entrusted to the Memorial Union until they are claimed or transferred to OSU Central Lost & Found or OSU Department of Public Safety.
- Fulfill an elevated role during building incidents, evacuations, and emergencies. Report incidents directly to the supervisor within appropriate MU units at the time of response. Complete all required documentation of incidents following MU protocols. Assist Law Enforcement Agencies, Emergency Medical Services, and MU staff when necessary and within OSU Policy and procedures.
- Maintain the confidentiality of records as stipulated by FERPA (Family Educational Rights and Privacy Act), PCI & Cash Handling Training, OSU Fiscal Policy, and MU policies and procedures.
STAFF RELATIONS AND DEVELOPMENT - Develop positive working relationships with Memorial Union staff and co-workers; treating all team members, other departmental staff, and customers with courtesy, respect, and consideration.
- Engage in daily check-ins with MU Operations Manager. Participate in and attend staff meetings and required training as scheduled.
- Assist with the recruitment, selection, and onboarding of new staff members at the Information Desk.

| Minimum Qualifications | - Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study
- Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment

| Working Conditions / Work Schedule | - MEETINGS AND TRAINING
- Training for newly hired Information Desk staff will take place from week 5 to week 10 of spring 2026. Staff can anticipate an average of 5-10 hours of scheduled training sessions each week to prepare for fall 2026.
- Fall 2026 Training for Info Desk may begin as early as Monday September 14th, 2026, and consist of in-person sessions and canvas modules.
- All Information Desk staff are expected to participate in training in its entirety. Employees interested in taking Summer 2026 courses will be expected to plan their schedules around fall training sessions. Conflicts that could impact a staff member’s ability to attend any required training, or staff meeting, are expected to be shared with advance notice for supervisor approval.
- Information Desk staff meetings will take place in person within the Memorial Union. Staff should expect meetings to be a minimum of one hour in length and be conducted at the discretion of the Operations Manager.
- STAFFING EXPECTATIONS
- The Memorial Union is this roles primary employer. The University allows student employees to work on campus up to 24 hours per week. On average, Info Desk Staff are expected to work 15 – 20 hours per week. This consists of 3-4 shifts, each being 4 to 3.5 hours in length. Shifts are scheduled on a weekly basis and accommodate academic schedules and approved vacation.
- The Information Desk is staffed when the MU is open to the public. The MU is open from 7:30am – 10pm Monday through Friday and 10am to 10pm on Saturdays and Sundays. The Information Desk may be open for extended hours based on reservation needs.
- This position must be able to work early mornings, late evenings, and weekends. Info staff will be expected to remain available to work shifts through finals week of each term. Opportunities for shifts during academic breaks are at the discretion of the Memorial Union.
- Info staff are expected to proactively communicate scheduling needs, time off, and support shift coverage when needed from fellow staff members.
- Employees in this role are expected to monitor their personal OSU email daily and MU Microsoft teams channels while working in their position. Employees’ personal cell phone number may be contacted in emergencies and for situations critical to the operations of the Memorial Union.
- Information Desk staff will adhere to uniform expectations and communicate when provided apparel needs replacement.
EMPLOYEMENT - Employment is for the 2026 – 2027 academic year. Contingent employment is dependent upon satisfactory completion of a 30-day probationary onboarding period and satisfactory job performance as evaluated by the MU Operations Manager. Employment extending beyond the initial terms of hire relies on a successful performance evaluation and acceptance of updated Offer of Employment.
- Employees must maintain eligibility for employment by successfully completing all necessary hiring paperwork, including but not limited to submitting the I-9 form and materials, HR Bridge Trainings, and training assigned by Operations Manager of the Memorial Union.
COMPENSATION - Student employees are paid a wage consistent with the OSU Student Employment Pay Rate Guidelines. Pay is identified based upon job duties, levels of responsibility and complexity of work to be performed.
- Information Desk staff anticipated starting wage is $16.41 with an increase to $16.81 after all required onboarding and training has been completed.
WORKING CONDITIONS Information Desk Staff are place-based Memorial Union employees who work indoors in a positive customer service environment, staffing a central desk. Occasionally, Info Desk staff may encounter the following circumstances: - Lifting up to 10 pounds, and rarely up to 50 pounds.
- Communicating with members of the OSU Community, and the public, some of whom may be unfriendly.
- Experiencing periods of high stress when responding to crises and emergencies with a potential to cause secondary traumatic stress.
