National Forest Foundation (NFF) is pleased to offer a Non-Exempt, Full-time position that will work to support Mountain West Region field staff through program process reviews, budget and reporting tracking mechanisms, coordinating meeting and event logistics, supporting communications, and providing project management and procurement assistance.

Position Function: The Conservation Program Assistant – Mountain West Region reports to the Associate Vice President of the Mountain West Region and will work closely with Regional Directors of Field Programs within the Region. The Assistant will provide analysis and insight for the Mt. West team into current programmatic and administrative processes across teams, providing recommendations and implementation strategies for improving efficiencies and developing collaborative, cross- team needs. The Assistant will implement improved process recommendations including but not limited to, federal and nonfederal budget and reporting tracking systems, data management and metrics tracking, procurement systems and processes, as well as working across teams to coordinate priority meeting and event logistics and supporting internal and external communications development.

The Conservation Program Assistant may also support the administration and coordination of collaborative and partnership efforts, as needed. This work requires close coordination across NFF teams, the U.S. Forest Service, community organizations, and implementation partners to accomplish identified goals and activities across NFF’s Mountain West Region Program.

Position Duties and Responsibilities: The Mt. West Conservation Program Assistant will:

  • Support the development, implementation, and maintenance of program- and project-based budget tracking systems, including organizing, monitoring, and standardizing budget processes and tools.
  • Coordinate and track reporting requirements and timelines associated with contracts and agreements, including federal and non-federal grants, service contracts, and other funding mechanisms.
  • Support integration of the Mt. West team systems as part of organizational business systems including Customer Relationship Management (CRM) and Grants Management Systems.
  • Develop, maintain, and ensure accuracy of regional and organizational databases, including Mt. West systems as well as NFF’s CRM and GCMS through timely and consistent data entry.
  • Provide administrative and project coordination support to Assistant Vice President and Mt. West Field Directors, including procurement, purchasing, and use of project tracking systems.
  • Provide technology and data management support for program-related documents, files, and tracking systems.
  • Lead the development, refinement, and ongoing use of cross-team systems and processes that enable efficient field operations and program delivery, including coordination, filing, and tracking of technical documents, contracts, and best management practices.
  • Organize logistics, scheduling, and coordination for priority meetings, calls, and events.
  • Collaborate with other Regional Field Conservation Program Assistants integrating needs with other regional Assistant Vice Presidents, and conservation staff to develop and maintain consistent tracking and management practices.
  • Assist in drafting, reviewing, and editing conservation program materials, partnership communications, and outreach content.
  • Support coordination and administration of collaborative partnership efforts, as needed.
  • Assist with internal agreement approval and signatory processes in coordination with designated staff.
  • Provide general administrative support to conservation leadership, as needed.
  • Perform other programmatic and administrative duties, as assigned.

Education and Qualifications: NFF expects the Conservation Program Assistant to possess the following educational and experiential qualifications:

  • Associate degree in a relevant field such as business administration, office management, communication, or environmental/ natural resources studies.
  • Minimum of 2- 4 years of experience in field-based or nonprofit administrative support.
  • Familiarity with conservation, land management, or outdoor recreation programs preferred
  • Comfort and experience working with geographically dispersed teams
  • Ability to support logistics for field operations
  • Basic understanding of federal partners
  • Must be authorized to work in the United States.

Abilities and Skills: NFF expects the Conservation Program Assistant to possess the following proven abilities and skills:

  • Assessment of different conservation program systems and approaches, creating unified processes with collaborative intent across the Mt. West
  • Manage multiple priorities across geographically dispersed teams
  • Strong attention to detail in managing complex processes, systems, and documentation
  • Ability to track tasks, deadlines, and follow-ups with minimal supervision
  • Clear, professional written communication (email, reports, meeting notes)
  • Strong interpersonal skills across field staff, leadership, and external partners
  • Translate logistical or administrative information into clear guidance
  • Strong working knowledge of Microsoft 360 suite and collaboration tools (Outlook, Excel, Work, PowerPoint, Teams, SharePoint, etc.)
  • Anticipate needs and proactively resolve administrative challenges
  • Comfort adapting to shifting priorities
  • Ability to build trust with field staff
  • Strong service orientation, being responsive, helpful, and solution-focused

Location: The location for this position is flexible throughout the Mountain West Region States (ID, MT, WY, UT, CO, AZ, and NM). This position is a remote/work-from-home position and requires reliable internet access and a dedicated workspace.

Compensation: NFF offers a competitive compensation and benefits package that reflects our total rewards strategy. The starting salary range for this position is $63,000 to $77,000, with the ability to grow to $91,000 based on performance outcomes over time and assessed annually. ?NFF monitors mandated state minimum wage updates.? Individual state conditions will be honored during the offer process. ?
