GENERAL RESPONSIBILITIES: The Tribal Government Administrative Assistant is responsible for performing a variety of office functions in the tribal government offices including administrative, receptionist, and clerical duties for the Tribal Council and other governmental departments. The Tribal Government Administrative Assistant reports directly to the tribal council secretary and must be able to work with limited supervision.

STANDARD QUALIFICATIONS:

All employees of Stockbridge Munsee Community must meet the following qualification:

1. Must submit to and pass a pre-employment drug and health screening.

2. Must be at least 18 years of age, unless otherwise stated on job description

3. Must maintain an acceptable departmental attendance record

4. Must be able to work weekends, nights and holidays.

DUTIES:

1. Receives visitors to the office and guides to proper department.

2. Provides continual telephone answering coverage, takes messages, and directs calls to offices.

3. Receives and routes all mail and packages for tribal government offices as well as maintains a log of incoming and outgoing mail. Logs in Tribal Chairman’s mail and routes to appropriate parties.

4. Assists council secretary with clerical duties as requested including typing, filing, coping, faxing, and assisting with schedules, meetings, and travel arrangements for council members.

5. Is responsible to stay informed of maintenance and support needs of government offices and work with appropriate administrative staff to assure those needs are handled in a timely manner.

6. Orders and maintains office forms and supplies as needed.

7. Assists governmental department heads when needed, and when available.

8. Shares the responsibility of recording council minutes with the tribal council secretary. Responsible for staff meetings and other working meetings as needed. Responsible for transcribing council minutes.

9. Maintains confidentiality at all times.

10. Travel is required.

11. Must maintain an acceptable departmental attendance record.

12. Must be reliable and prompt when reporting to work.

13. Required to attend job related, in-service, meetings, and training to maintain professional and technical knowledge.

14. May be required to satisfactorily complete an exam or other testing requirement(s) to determine skill proficiency.

15. Must adhere to tribal law and other applicable laws as well as tribal personnel policies and procedures.

QUALIFICATIONS:

1. Must be an enrolled Stockbridge-Munsee Tribal Member.

2. Must possess a high school diploma or GED.

3. Must have two years working experience in a clerical position.

4. Must possess above average typing and spelling skills, computer experience required.

5. Must be able to operate office equipment (copier, fax machine, transcriber, etc) necessary for the position.

6. Must be able to demonstrate appropriate telephone answering skill.

7. Must be able to present a positive and friendly image while maintaining professionalism.

8. Must be able to communicate well, both verbally and in writing.

9. Must be able to organize and maintain all assigned duties.

10. Must pass pre-employment drug and health screening. Must adhere to the Tribe’s Drug and Alcohol Free Workplace Policy during the course of employment.

11. Must be able to meet physical requirements of position

12. Must abide by departmental and organizational safety, testing, and uniform guidelines.

13. Must be eligible for coverage under the employer’s liability insurance.

14. Must have a valid driver’s license, reliable transportation, and insurance are required. Must obtain a Wisconsin driver’s license within 30 days of employment if applicant has an out-of-state driver’s license. Must meet and maintain the eligibility to operate a personal or tribal vehicle under the driver acceptability guidelines as established by Mohican Nation Insurance.

15. Must have demonstrated ability to maintain satisfactory working record in any prior or current employment.
