About Frontline Wildfire Defense
At Frontline Wildfire Defense, our mission is to protect homes, families, and communities from wildfire disasters. Our innovative wildfire defense system allows homeowners to track wildfires, receive critical alerts, and actively safeguard their properties using a remotely operated fire protection system. With multiple layers of redundancy, our system hydrates homes and surrounding areas to prevent ignition from flying embers—the #1 cause of structure loss during wildfires.
We are a fast-growing team that has already achieved significant milestones in protecting homes across Northern and Southern California. Our team includes experienced engineers, product designers, and industry experts, and we are looking for a Contract Administrator to help drive our efforts.
About This Opportunity
As a Contract Administrator, you will lead the administration, execution, and compliance of customer and contractor agreements to support our wildfire defense system installations. You will collaborate closely with sales, operations, and procurement teams to ensure timely, accurate, and legally sound contracts. This is an exciting opportunity to join a mission-driven team working at the intersection of technology, home safety, and emergency preparedness.
Key Responsibilities
Contract Management & Compliance
- Draft, review, and manage contracts with homeowners, contractors, and vendors to ensure accuracy and compliance with legal and internal requirements.
- Ensure all agreements meet regulatory and internal standards, leveraging your understanding of contract law and risk mitigation strategies.
- Maintain organized records of executed agreements and related correspondence.
Customer & Stakeholder Communication
- Serve as the primary point of contact for homeowners and contractors during the contracting phase.
- Communicate clearly with internal teams (sales, operations, finance) to align contract terms with project goals and timelines.
- Proactively follow up to ensure contract execution is completed on schedule.
Digital Workflow & Onboarding Support
- Facilitate the digital signature and contract execution process using platforms like DocuSign or similar tools.
- Provide basic technical support to customers or partners using these systems.
- Identify and resolve issues or bottlenecks in the contracting process efficiently.
Qualifications
Must-Have:
- 5–7 years of experience in contract administration or legal support, preferably in construction, home improvement, or related industries.
- Educational background in Legal Studies, Paralegal Studies, or a related field
- Strong understanding of contract language, legal terminology, and compliance requirements.
- Familiarity with digital signature platforms (e.g., DocuSign) and contract management software.
- Familiarity with the Google Suite: Docs, Sheets etc.
- Excellent written and verbal communication skills; comfortable liaising with both homeowners and internal teams.
- Highly organized and proactive, with the ability to manage competing deadlines.
Nice-to-Have:
- Paralegal certification or experience supporting in-house counsel or a legal department.
- Experience with residential installation services, permitting, or construction contracting.
- Prior experience handling subcontractor or procurement agreements.
Compensation & Benefits
- Competitive Base Salary: $65,000–$80,000, based on experience.
