Onsite (Durant, OK) | Monday-Friday | 8:00AM-4:30PM

Job Purpose or Objective(s): The Tribal Events Operations Manager will oversee the day-to-day operations of a dynamic Tribal Events department to ensure effective information flow and efficient utilization of resources. Provide support to the Tribal Events team to ensure all Choctaw Nation events are excellent quality. You will report directly to the Tribal Events Director.

Primary Tasks:

  1. Oversee project management for Choctaw Nation Events including budget monitoring and contract negotiation/fulfillment.
  2. Collaborate with Tribal Events Staff to ensure timely requests for expenditure of internal and client budgets.
  3. Serve as Labor Day Committee Secretary. Attend all committee and subcommittee meetings. Coordinate Labor Day Committee agendas, meetings and reporting. Track and report Labor Day expenditures and budget allocations. Approve and enter requisitions.
  4. Coordinate and maintain departmental and event related financial processes and documents, including billing /invoicing, travel, departmental fleet vehicles, and departmental purchase card utilizing the appropriate software system to align with policies and procedures.
  5. Serve as a point of contact for event-related correspondence resolving routine and complex inquiries. Establish and maintain internal and external relationships related to CNO events.
  6. Collaborate with team members to obtain pertinent information to work with CNO Procurement to procure all materials and supplies for operational efficiencies for event related supplies.
  7. Serve as a liaison with vendors, suppliers, and external partners to review contracts, obtain quotes for services and maintain vendor relationships.
  8. Organize and schedule meetings, travel arrangements, and departmental activities for Tribal Events staff and events.
  9. Perform other duties as may be assigned.

MINIMUM

  • Associate’s degree in business or related field or equivalent combination of education and experience.
  • Expertise in the operation of Microsoft Office Suite.
  • Must be goal-oriented, self-disciplined, organized and proficient in performing multiple tasks.
  • Ability to work hand in hand with other departments and associates at different levels to ensure processes are managed properly.
  • Excellent customer service and email / phone etiquette.
  • 3 years’ experience in project management software skills.
  • General business/accounting background.
  • 3 years’ experience with budget monitoring and reporting.
  • Five (5) years’ experience in a related field.
